Privacy Policy
How BetterEd Solutions handles the institutional information leaders entrust to this platform.
Scope of this policy
This policy covers the BetterEd Solutions website, the BetterEd School Health Index™ diagnostic, and the authenticated BetterEd portal used by school and network leaders. It describes the platform as it is actually built and operating today.
Information we collect
The platform collects only information a leader chooses to provide:
- Account information: name, work email, role or job title, and phone number when supplied.
- Organizational information: organization and school names, type, location, enrollment figures, governance details, and similar institutional profile data.
- Diagnostic responses: answers to School Health Index™ questions, along with organizational context such as urgency, timeline, budget range, and decision authority when a leader provides them.
- Supporting documentation: institutional files a leader uploads as evidence for a diagnostic domain.
- Consent records: which policy version was agreed to, when, and on which page.
- Operational records: audit entries describing actions taken inside the platform, such as submissions, report generation, review actions, and report downloads.
Information we do not want and do not request
Evidence uploads are intended for institutional documentation only. Leaders are asked to remove or redact individual identifiers before uploading, and BetterEd may remove material that falls outside this scope.
- Student-level records of any kind, including names, identifiers, grades, discipline records, health records, or special-education documentation.
- Personnel files or individually identifiable employee evaluation records.
- Payment card numbers or financial account credentials.
- Any information a leader is not authorized to share on behalf of their organization.
How information is used
BetterEd does not sell institutional information, and the platform contains no advertising network, third-party ad pixels, or behavioral advertising integrations.
- To produce diagnostic scores, classifications, risk flags, and reports for the submitting organization.
- To enable BetterEd expert review of a submitted diagnostic, including reviewer commentary and score adjustments that are recorded with their rationale.
- To respond to inquiries and requested review conversations.
- To operate, secure, support, and improve the platform.
Access controls
Access is enforced in the database itself, not only in the interface. Every record is governed by row-level access rules evaluated on each request.
- Organization members can see only their own organization's schools, assessments, responses, evidence, and reports.
- BetterEd reviewers can see a diagnostic only when they are assigned to it.
- Internal review notes are separated from findings intended for the client and are not visible to participants.
- Final reports become visible to a participating organization only after they are approved and published by authorized BetterEd staff.
- Uploaded evidence and generated PDF reports are held in private storage and are reachable only through short-lived, access-checked links.
Sub-processors and infrastructure
The platform runs on managed cloud infrastructure that provides application hosting, database, authentication, and private file storage. Sign-in may be completed with Google as an identity provider when a leader chooses that option. A complete, named sub-processor list and data-processing addendum are prepared as part of BetterEd’s legal review and will be published with the approved version of this policy.
Retention and deletion
Diagnostic records, reports, and audit history are retained so that a published report remains reproducible and defensible. Retention windows are configurable operational settings maintained by BetterEd staff, and an assessment can be archived, placed on legal hold, or marked for scheduled deletion. Deletion requests are recorded with the requester and the time of the request. An organization may request deletion of its records by contacting BetterEd.
Cookies and analytics
The platform sets only the storage required to keep a signed-in session active. There is no third-party analytics, advertising, or cross-site tracking integration in the current build. If BetterEd later introduces analytics, this policy will be updated and re-versioned before that change takes effect.
Security reporting
Suspected vulnerabilities or data-handling concerns should be reported to BetterEd through the contact page so they can be triaged directly by the team responsible for the platform.
Changes to this policy
Each version of this document is recorded in the platform with its own version identifier. When a change is material, leaders are asked to review and agree to the new version before continuing to use the affected part of the platform.
